Policies and Procedures

Welcome Aboard!
I'm thrilled to be working with you to Ignite Your Business! I aim to make this a smooth, enjoyable process that results in a website you're proud to show off. To ensure everything flows efficiently, please review the following policies. These are designed to set expectations and avoid confusion.

Office Hours & Communication
Office Hours: Monday–Friday, 9 AM–5 PM
Accepted Communication: Phone, email, text, or What's App
Note: Messages received after hours will be returned during business hours.

Appointments & Scheduling:
All meetings must be scheduled via my calendar: https://ignitemarketing.as.me/general
All calls are via Zoom

Rescheduling?
Use the link in your confirmation email (keep this handy!)
Calls will be rescheduled if you're not in a distraction-free location (e.g., no Starbucks meetings please!)

Call Recordings:
You are welcome to record any of our calls for reference. You will receive an email from me after our call with a summary of our call.

Mobile Responsiveness
Sites are designed first on desktop.
Mobile optimization happens last, just before launch.
Changes during development may delay or impact mobile formatting.

Content Submission
Before We Start:
All content must be submitted before your project is scheduled.
Missing or late content will delay your timeline.
Content added after build start = change order and added fees.

Content Submission Process:
All materials (text, photos, docs) go into your Google Drive folder (link provided at kickoff).
If needed, I can walk you through how to use Drive.

File Naming Format:
Pleae use this format: PageName_ItemName

Ex: About_MyPhoto, Services_WebDesign

Photo Requirements:
Submit correct-sized photos (under 1MB)
Images must be properly oriented (no sideways/upside-down)
Use: www.picresize.com
$1 per photo fee for resizing or repositioning (cropping excluded)
No CONTENT Submissions via:
Text, email, or What's App. All content must go through Google Drive.

Social Media Links:
Please provide full URLs, not just usernames
Ex: https://business.facebook.com/ignitingyourbusiness/

Spelling & Grammar:
You're responsible for proofreading content before submission.
I copy/paste what’s provided unless editing is included in your scope.
Edits after submission may incur charges.

Pre-Launch Checklist
Before going live, you’ll need to:
Review every page for spelling, grammar, image alignment, and correct links
Ask someone else to double-check (I will, too!)
Let me know of any final adjustments within scope

Post-Launch Policies
What's Covered (15-Day Warranty):
Broken links
Images not loading
Spacing issues
Mobile formatting fixes

What’s Not Covered (Billed Separately):
Changes to content (text, images, icons, etc.)
Functionality updates
(Maintenance clients may use their included hours for these updates.)

Project Scheduling
Your site is added to my project calendar after content submission.
If you go MIA, your project moves to the back of the line.
Delays may result in a wait of up to 2 – 4 weeks to resume.
Stay in touch—even if you’re delayed. I can work with you if I know what's going on!

Revisions Policy
Home Page
You’ll receive a homepage design first.
1 major and 2 minor revisions allowed (spreadsheet provided).
The spreadsheet will be due within 3 business days to stay on schedule.
Late revisions = out-of-scope and may delay delivery.

Subpage Design
Delivered 5–7 business days after homepage approval.
Same revision structure and timeline as homepage.

Major Revisions are:

  • Layout changes (moving text boxes or images)
  • Changing menu items (menu items are based on the information provided at kickoff)
  • Changing theme options.
  • Changing one color globally
  • Changing or modifying the header image.
  • Adding or adjusting footer information
  • Changing the layout of a page.
  • Changing the Call to Action layout.
  • Adding or changing functionality of the page or element.
  • Changing text layout (centering or aligning text)
  • This is not inclusive – any other items deemed “major” will be discussed at the time.

Minor Revisions are:

  • Changing module background colors. (if colors are different, each change will be considered a color.)
  • Changing the text of a Call to Action. Changing out a sample image.
  • Changing sizes of logos or other provided items.
  • This is not an inclusive list – any other items deemed “minor” will be discussed at the time.

Any revisions outside of these lists will be considered a change order and will be billed at the contracted hourly rate. Client provided content will be deemed correct and any modifications to the client provided content will be considered a revision and will need a change order.
